Exhibitors are encouraged to host customer events at their booths on show days. If you plan to host an event for badged attendees, use this form to obtain prior approval from NBAA-BACE Show Management.

Exhibitors hosting booth events inside the LVCC West Hall after exhibit hours must pay a $500 fee.

Exhibitors hosting booth events at the Aircraft Connection at Henderson Executive Airport will have an event fee assessed based on their event details.

Security Requirements

  • All exhibitors hosting booth events must provide the appropriate level of security to ensure that aisles remain passable and guests remain within the exhibitor’s exhibit areas.
  • Exhibitors are required to hire one security guard for each 50 guests expected. The guest count is based on your estimated peak attendance provided on this form.
  • Security must be in place beginning 15 minutes before the event and continuing 15 minutes after the event.
  • Security guards must be hired through the NBAA-BACE official security company, Allied Universal Event Services.
Exhibitors must send confirmation of their security orders to exhibits@nbaa.org. Events will not be approved without a copy of the security order.

Entertainment

  • Exhibitors must gain approval from NBAA Show Management for all entertainment during the requested booth event, including music of any kind.
  • Exhibitors may not have live music playing until after exhibit hours.
  • Exhibitors with live music must coordinate the arrival of musicians and equipment with NBAA Show Management at exhibits@nbaa.org.
  • Noise levels are not allowed to surpass 80 decibels during exhibit hours.

Additional Considerations

  • All guests must be badged 2025 NBAA-BACE attendees. No guests will be permitted to enter the exhibit floor or Aircraft Connection without an official 2025 NBAA-BACE badge.
  • All catering, guests and entertainment must fit within and remain within purchased exhibit space during the entirety of the event. Catering must be ordered through the exclusive caterer for 2025 NBAA-BACE.
  • Booth events may not be scheduled during NBAA-BACE Keynotes.
  • After-hours events are permitted inside the LVCC West Hall until 6 p.m on Tuesday, Oct. 14 and Wednesday, Oct. 15, which is one hour after exhibits are closed.
  • For after-hours events inside the LVCC West Hall, exhibitors must have at least one staff member for each 50 guests stationed at your designated exhibit hall entry point to meet your guests and escort them to and from your booth.
  • NBAA-BACE shuttle buses will stop service at 6 p.m. on Tuesday, Oct. 14 and Wednesday, Oct. 15.
  • Exhibit hall lighting will be at 50% for 30 minutes before and after official show hours.

Any person who attends an NBAA convention, conference, seminar or other program grants permission to NBAA, its employees and agents (collectively "NBAA") to record his or her visual/audio images, including, but not limited to, photographs, digital images, voices, sound or video recordings, audio clips, or accompanying written descriptions, and, without notifying such person, to use his or her name and such images for any purpose of NBAA, including advertisements for NBAA and its programs.
