Exhibitor Service Desk

NBAA management provides designated on-site area where exhibitors can order supporting items and services for their exhibits from from 2018 NBAA-BACE preferred and exclusive service partners.

The Exhibitor Service Desk will be located in the south concourse at the OCCC as well as at the Orlando Executive Airport and will be open during the following hours:

Move-in – Orange County Convention Center

Exhibitor move-in to the Orange County Convention Center will be on a targeted schedule beginning on Wednesday, October 10, 2018.

Exhibitors requiring additional hours for setup should make prior arrangement by contacting the NBAA Exhibits team at exhibits@nbaa.org.

Note: All exhibits must be set and in place by 3:00 p.m. on Monday, October 15, 2018, so aisle carpeting can be installed. Exhibitors may continue with setup preparations within their exhibit space, however all aisles must be clear of crates and exhibit materials.

If the exhibit space is not occupied by this time, NBAA management will consider it canceled by the exhibitor and assumes the right to use such space as deemed appropriate. Exhibitors requiring additional hours for indoor setup should contact the NBAA Exhibits team at exhibits@nbaa.org.


Move-in – Static Display of Aircraft at Orlando Executive Airport

The setup and move-out processes for the NBAA static display of aircraft is challenging logistically, not only to ensure that aircraft are moved into and out of position efficiently and correctly, but also to ensure the safety of exhibitors’ equipment and personnel.

Saturday, October 13 8:00 a.m. – 5:00 p.m.
Sunday, October 14 8:00 a.m. – 5:00 p.m.

Special events, private viewings or open houses may not be held in the static display area prior to 4:00 p.m. on Monday, October 15, 2018.

Normal setup hours at the static display are daily from 8:00 a.m. to 5:00 p.m. Exhibitors requiring additional time for setup should make their request directly to NBAA’s Tracy Tippett at ttippett@nbaa.org or Joe Hart at jhart@nbaa.org. All approvals will require exhibitors to hire NBAA-approved security guards to be stationed in the exhibit space whenever setup personnel are present.


Move-out – Orange County Convention Center

Move-out for Orange County Convention Center will begin at 4:00 p.m. on Thursday, October 18, 2018, and all materials must be removed by 5:00 p.m. on Saturday, October 20, 2018.

All exhibits must remain staffed and in place until the show closes at 4:00 p.m. on Thursday, October 18. Exhibitors may not begin dismantling their exhibits before 4 p.m. Please plan departure flights to allow for full staffing during all show hours. Exhibitors found in violation of this rule will lose their priority standing for the indoor exhibit space lottery for 2018 NBAA-BACE.


Move-out – Static Display of Aircraft at Orlando Executive Airport

Aircraft departing from the static display must remain in place until 3:00 pm. on Thursday, October 18, 2018. Beginning at 3 p.m., aircraft will be moved into position to depart. Due to the high volume of traffic departing the Orlando area on October 18, FAA ATC delays should be expected. To expedite the teardown, aircraft departing on Thursday should be fueled prior to being placed on the static display. Aircraft requiring fuel on on October 18 may experience substantial departure delays.

Freeman will begin returning empty containers as soon as all aircraft are removed from the static display. The entire process will take approximately four hours.

To ensure all exhibitor materials are removed from the static display by the exhibitor move-out deadline, please have all carriers check in by 2:00 p.m. on Saturday, October 20.

Any person who attends an NBAA convention, conference, seminar or other program grants permission to NBAA, its employees and agents (collectively "NBAA") to record his or her visual/audio images, including, but not limited to, photographs, digital images, voices, sound or video recordings, audio clips, or accompanying written descriptions, and, without notifying such person, to use his or her name and such images for any purpose of NBAA, including advertisements for NBAA and its programs.
