Thank you for exhibiting at 2023 NBAA-BACE! Please review this move-out bulletin for important information to assist with your exhibit move-out.


Important Reminders

Please note the following safety measures to minimize the loss of property during your booth breakdown and packing.

  • Remove all valuable equipment (TVs, laptops, phones, tablets, etc.)
  • Do not leave small, concealable items in your booth overnight.
  • Pack your entire exhibit as soon as move-out begins.
  • Do not list contents of boxes; only list shipping addresses.
  • Report any theft immediately to show security.

Take care of your belongings. Exhibitors and exhibitor-appointed contractors (EACs) are responsible for their own goods. Do not leave valuables unattended.

NOTE: Children under 18 are not permitted on the show floor during move-out.


Outbound Shipping & Labor

Prepare your outbound shipping paperwork, including your Material Handling Agreement so that this is ready for you when move-out begins.

If you are using Freeman labor, refer to Freeman Online to order dismantle labor, if not already done. Exhibitors supervising Freeman labor will need to pick-up and release their labor at the Exhibitor Service Desk.


Motorized Vehicles & Mobile Units

All motorized vehicles and mobile units leaving must be escorted out by Freeman personnel before the aisle carpet is removed. A representative will be at your booth at 3:00 p.m. on Thursday, Oct. 19. Please call Felipe Adriao, Freeman, at 702-419-4776 with questions or to discuss your move-out.


Exhibitor & Exhibitor-Appointed Contractor (EAC) Access

Exhibitors and EACs must wear either exhibitor badges or security wristbands during move-out. EAC Leads can pick up their Move-Out Wristband Packets at the locations below. Exhibitors can pick up security wristbands at these locations if they don’t have a badge.

Please keep all aisles clear of exhibit materials until all aisle carpet has been removed.

NOTE: Exhibitors who move-out prior to show closing, 3:00 p.m., Thursday, Oct. 19, will lose priority status for 2024 NBAA-BACE. This will be strictly enforced.

  • Freeman will begin returning empty containers as soon as aisle carpeting has been removed from the exhibitor floor. This process may take up to 8 hours. Inclement weather may delay this process. Please plan accordingly.
  • All exhibitor materials must be removed from the LVCC by 3:00 p.m., Saturday, Oct. 21.
  • Carriers must check-in by 10:00 a.m., Saturday, Oct. 21.

Exhibitor Service Desk

The Exhibitor Service Desk is located in the LVCC Central Hall in C3 Tunnel.

The Freeman Exhibitor Support team will be available from 8 a.m. to 5 p.m. from the first day of Exhibitor Move-in to the last day of Exhibitor Move-out. Hours may be extended the day before show open and the day of show close to assist with additional exhibitor needs.

Emergencies

First Aid

Nurses stations are located in the LVCC Grand Lobby across from the Central Hall 4 entrance and in the North Lobby outside of North Hall 2 entrance.

Lost & Found

Items can be turned in at Registration in Hall C2 and any unclaimed items will be given daily to LVCC Security. The LVCC Security dispatch office is located in the Grand Lobby across from the Central Hall 4 Entrance.

Items unclaimed at the conclusion of NBAA-BACE will remain with LVCC Security.

Bag Storage

Bag storage is located in the Registration area in Hall C2 through 4:00 p.m., Thursday, Oct. 19. Please ensure you pick up any items left in bag storage before bag storage closes. NBAA is not responsible for items not claimed from bag storage.


Exhibitor Material Donation Program

If you have useful materials that you would like to donate after the show, NBAA-BACE Show Management and Honeycomb Strategies have established a donation program with materials benefitting local charities.

All donations must be in like-new condition and may be subject to review or approval by show management. Materials that are accepted or declined are subject to the judgment of the donations team. A preliminary list is provided below.

Exhibitors are responsible for dismantling and packing their booths. Any donations not properly packed, not dismantled, not approved for donation, or abandoned will result in an additional charge to the exhibitor. Some items may require a nominal removal fee for donation.

  • Electronics or machinery
  • Unopened or non-perishable food
  • Marketing materials and branded gifts

Items Not Eligible For Donation

  • Signage
  • Flooring
  • Broken or damaged items, including items damaged during load-out
  • Custom-built booths or displays
  • Fresh, perishable or opened food

Recycling

LVCC Recycling

Recycling dumpsters will be in North and Central Halls during move-out. Contract cleaners are responsible for ensuring that recyclable materials are directed to the appropriate containers. LVCC uses a dual-stream process that captures mixed recyclables (paper, plastics, metals, reusable dishware), diverting items from trash receptacles.

HND Recycling

Waste collected during event days and move-out will be collected then sorted off-site to divert recyclable materials.


Waste/Trash

Exhibitors and EACs/stand builders are responsible for disposing of their trash and unused materials. Trash must not be placed aisles, outside the exhibit halls or in other exhibitors’ booths. Waste bags, bins, and pallets may be ordered through the Exhibitor Service Desk.


Claims

Please be advised that claims are not accepted after the end of the show.
